Orders Module Overview

The Orders module lets you manage the full lifecycle of customer orders—from creation and status tracking to invoicing and discount application. It connects with inventory, customer, and finance modules to streamline the entire order-to-cash process.

Order List
Displays all orders with filters by ID, status, manager, and time zone.
Create Order
Allows manual order entry, including customer selection, item input, and discounts.
Order ID
Can be system-generated or manually defined.
Status Tracking
Order stages such as Draft, Quote, Confirmed, Fulfilled, and Invoiced.
Discount Integration
Automatically applies relevant discount profiles or redemption codes.
Custom Attributes
Supports adding custom fields like order_id or reference notes

Integration with Discount Profiles

Navigate to: Settings → Discount Profiles

When a valid Discount Profile is active:

  • System auto-applies the discount during order creation
  • If Redemption Codes are enabled, the user must enter the code for the discount to apply

Create an Order – Step-by-Step

  1. Go to Exsited > Order
  2. Click Create Order
  1. Fill the required details:
    • Customer: Choose from the dropdown
    • Order ID: Auto-generated or enter manually
    • Item: Select item(s), enter quantity, price auto-fills from item setup
    • Discount: System applies discount profile (if applicable) or allows manual entry
  2. Enable/disable Price Inclusive of Tax.
  3. View Sub Total, Tax, and Total at the bottom.
  4. Add any Custom Attributes (e.g., Order Notes, Reference ID).
  5. Click Save to create the order.

Order List View

Each order displays:

  • Order ID
  • Order Date
  • Last Invoice (status or amount)
  • Created By (User)
  • Created On (Timestamp)
  • Billing Period

Clicking on an order opens full details for editing or invoice generation.

Order Actions

After creating an order, users can perform several actions such as previewing or downloading the invoice, editing or changing order details, duplicating the order, canceling or deleting it, locking the order to prevent changes, or pinning it for quick access.

Modify order details such as items, quantities, or dates
Cancel Order
Mark the order as canceled without deleting it from the system
Delete Order
Permanently remove the order from the system
Duplicate Order
Create a new order using the same details as an existing one
Edit Order Information
Update order metadata like reference numbers, notes, or tags
Lock Order
Prevents further editing or changes to the order
View as PDF
Generates a downloadable PDF version of the order
Pin Order
Keeps the order at the top of the list for easy access

View Order Details

In the Order List View, select an order.

Order Information

This section displays key details about the selected order, including its ID, status, customer, order date, currency, invoice settings, and other order-related properties. It provides a quick overview to help users review and manage order-specific data efficiently.

Address

This section allows users to add and manage the billing and shipping addresses related to the order, ensuring accurate delivery and communication details are recorded.

Notes

This section allows users to add internal notes related to the order for reference or communication among team members. Notes help track important updates or reminders without affecting customer-facing details.

Account and Contacts

This section displays the customer's account information linked to the order, including account ID, name, and email. It also provides options like granting portal login access for enhanced customer interaction.

Activity

This section provides a detailed audit trail of all system and user actions related to the order. It includes timestamps, actors, source IPs, and event statuses which helpful for tracking processing steps, troubleshooting issues, and ensuring accountability.

Relevant Records

This section displays linked documents related to the order, such as Invoices, Payments, and Purchase Orders. It provides a quick way to navigate to associated records and maintain traceability across the transaction lifecycle.

Integrated Apps

This section shows the integration status with external applications. It allows you to view linked data from these apps related to the order. You can link the order if it’s not connected yet, open the linked data, or export it for further use. In this screenshot, the order is not linked to the external application, as indicated by the red "Not Linked" badge and available actions to Link, Open, or Export.

Notes & Best Practices

  • Ensure item pricing is configured in the Item Module.
  • Apply relevant discount codes before finalizing the order.
  • Orders can be created without immediate invoicing for quote purposes.
  • Orders cannot be modified once fully invoiced—use the edit option only before confirmation.
